We have created this privacy statement in order to demonstrate our firm and continuing commitment to the privacy of personal information provided by those visiting and interacting with this web site in accordance with The General Data Protection Regulation 2018. When you make a purchase from us or make a donation to us, you are entering into a contract and to perform this contract we need to process and store your data. For example we may need to contact you by email or telephone in the case of cancellation of an event, or in the case of problems with your payment.

Where contract is the basis for processing data we will keep the information for a minimum of seven years in line with HMRC’s requirements for retaining financial records.

Legitimate interest

In certain situations we collect and process your personal data for purposes that are in your or our legitimate organisational interest. This may include informing you of future poetry festival events if you have already attended an event.  However we only do this if there is no overriding prejudice to you by using your personal information in this way and you may request we stop processing your data for this purpose.


For situations where neither of the above reasons apply, principally to be informed via our mailing list when you have had no other contact with us, we rely on the consent you gave when signing up to the list.  From time to time we may ask you to reconfirm your consent to this and you can, at any time, withdraw your consent using the appropriate option on the correspondence. Alternatively, you may request withdraw of consent by contacting us directly, in which case we may require evidence of your identity before we carry out the request.

What Information Do We Collect?

Personally Identifiable Information

We collect as a minimum your name and email address for our mailing list.  In addition if you purchase a ticket from us we request a contact telephone number and postal address so we are able to contact you in the event of a change to the programme.

If purchasing in person you may decline to give us this information but in doing so you recognise that we have no contract with you and thus no obligation or means to contact you in the event of a change to the programme. Certain tickets are offered at a discount subject to age or employment status and we may ask for sight of evidence of this but this is not stored.

Email correspondence will include IP addresses.

Sensitive Information

We do not collect sensitive information such as gender, ethnicity, or religious belief.

Email Information

If you choose to correspond with us through email, we may retain the content of your email messages together with your email address and our responses. We provide the same protections for these electronic communications that we employ in the maintenance of information received by mail and telephone.

Web Site Use Information

Similar to other commercial Web sites, our Web site uses “cookies” (see explanation below, “What Are Cookies?”) and web server log files to collect information about how our web site is used. Information gathered through cookies and Web server logs may include the date and time of visits, the pages viewed, time spent at our Web site.  They do not include personal information about you.

How Do We Use the Information That You Provide to Us?

We use personal information for administering our activities, providing services you requested and to process payments.

Personally identifiable information or business information will not be shared with third parties except as required by law.

Removal of Information

Unless required by other considerations to retain data, for example for contractual or financial reasons, you may request we remove all your personal data from our systems.  This will normally be done within 28 days of the receipt of the request and we may require evidence of your identity before doing this.

Disabling cookies completely will not affect your general browsing of our website but will make it harder for us to judge the efficacy of the site and may make it difficult to enter data into forms or book tickets as both functions rely on cookies to work correctly.

Server Logs

Our web server automatically logs all visits to our website including IP addresses. This information is only used for statistical or technical support purposes. This server is owned and maintained by IONOS Cloud Ltd and it is not within Ledbury Poetry’s power to remove or alter this information.

Our Commitment To Data Security

Please note that your information will be stored and processed on our computers in the United Kingdom. To prevent unauthorised access, maintain data accuracy, and ensure the correct use of information, there are appropriate physical, electronic, and managerial procedures to safeguard and secure the information on these computers.

Our email list delivery is expedited by MailChimp based in The United States and the necessary data protection agreements for this are in place.
